Cancellation & Refund Policy for Dhanadeepa Solutions

At Dhanadeepa Solutions, we take pride in the precision of our laser cutting and engraving services. Because our work involves custom designs and specific material processing, our cancellation and refund policy is designed to be fair to both our craftsmanship and your investment.

1. Order Cancellations

1. Before Production: You may cancel your order within 24 hours of placement for a full refund, provided that production has not yet started and materials have not been specially ordered for your project.
2. During Production: Once the laser cutting or engraving process has begun, we cannot accept cancellations. At this stage, labor and materials (such as MDF, acrylic, or wood) have already been committed to your custom specifications.
3. Design Phase: If you cancel after our design team has created or modified digital files for your approval, a design fee may be deducted from your refund.

2. Refunds for Custom Products

1. General Policy: Due to the personalized nature of our products, we do not offer refunds for "change of mind" or customer errors in the submitted design (e.g., spelling mistakes, incorrect dimensions, or low-resolution files).
2. Defective or Damaged Items: If your order arrives damaged or with a manufacturing defect that deviates from the approved design, please contact us within 48 hours of delivery.
3. Please provide high-clearance photos of the defect and the packaging.
4. If the error is ours, we will offer a free replacement or a partial/full refund at our discretion.

3. Material Specifics & Non-Refundable Traits

Please note that the following are considered natural characteristics of laser processing and are not eligible for refunds:

1. Natural Variance: Grain patterns and minor color differences in wood or MDF.
2. Laser Marks: Minor charring on the edges or back of the material (a natural result of the laser beam).
3. Aroma: The temporary "burnt" scent characteristic of laser-cut wood products.

4. Shipping Costs

1. Shipping charges are non-refundable.
2. If a refund is issued, the cost of original shipping will be deducted from your total.
3. For returns of defective items, Dhanadeepa Solutions will cover the return shipping costs or provide a prepaid label.

5. Refund Processing

Once a refund is approved:

1. It will be processed back to your original payment method within [5–7] business days.
2. You will receive an email confirmation once the transaction is initiated.

6. Bulk Order Exceptions

For large-scale commercial orders, the specific cancellation terms outlined in your signed Service Agreement or Proforma Invoice will override this general policy.
